Scheduling Specialist

Additional Position Details: FTE: 1.0 | Full Time | 1st Shift - Days | This is an on-site position with the option to work four 10-hour shifts or five 8-hour shifts. Shifts are week days only (no weekends).

Salary: This position starts at $21.87 an hour. The typical starting range is $21.87 to $27.34 based on years of relevant experience (such as scheduling, staffing, and patient registration in a healthcare environment).

Position Summary

The Scheduling Specialist creates and maintains spreadsheets or other similar tracking processes for staff skeletons and vacancies. In this role, the Scheduling Specialist collects data, and develops and generates reports to inform leaders of critical staffing shortages. Other responsibilities include creating monthly unit time schedules; processing ETO requests, and scheduling changes following department guidelines for multiple units. May also maintain staff mandatory requirement records and provide training for other Scheduling staff.

As a Scheduling Specialist, you will have the opportunity to:

  • Determine staffing dynamics for a unit or units, in collaboration with the Clinical Manager, and adjust accordingly to ensure operational effectiveness.
  • Determine if there is adequate staff for each shift based on core staffing levels, staffing matrix and available staff, as well as collaborate with unit manager and direct supervisor to address monthly near-term staffing concern.
  • Assist staff with individual scheduling concerns such as extra hours, ETO, ESDP and education time.
  • Develop long-range nursing schedules for department and works with ETO Committee on summer and holiday request forms.
  • Continually work on current schedule to maintain core levels of staff which may be affected by sick time, FMLA and ETO, planned and unplanned.
  • Demonstrate professional accountability and effective communication skills that promote positive relationships, support internal and external customers and results in customer satisfaction.
  • Review payroll information in scheduling system to ensure accuracy and make timely changes to ensure correct pay.
  • Work as a team member with other scheduler/staffers cooperatively.

Qualifications

Education

  • Associate degree, preferred.

Experience

  • Minimum 3 years of experience doing advanced level administrative work is required.
