Preboarding

As you embark on this journey, you'll be assigned an onboarding specialist who will assist you in navigating everything you need to complete and understand before your first day.

Starting a new role can be intimidating, but our aim is to simplify and expedite the process for you. Please take a moment to explore the dropdowns for a comprehensive overview of the requirements and steps necessary before you begin in your new role.

Drug Screen

As part of Asante's preboarding process, all new hires are required to undergo a drug screen at our Employee Health department, located in either Medford or Grants Pass. Walk-in appointments are available Monday through Friday. If you are unable to attend a walk-in appointment within the designated timeframes and before the specified deadline provided by your recruiter, please inform your onboarding specialist promptly - they will discuss alternative options with you.

Please note that walk-in wait times can be unpredictable and may extend to several hours. Additionally, it's crucial to be aware that initiating the drug screen at the front desk and leaving before its completion is considered a "failed test" and may result in the rescinding of your employment offer.

We highly recommend making every effort to arrive for your walk-in appointment at a time when you have no other commitments immediately afterward, reducing the likelihood of needing to leave before completing the process. Your pre-employment physical will be scheduled during the visit when you complete the drug screen.

What you need to know for your drug screen appointment:

  • Bring a photo ID. You will not be able to complete the appointment without it.
  • Do not bring children with you. No one will be allowed in the collection area with you and children may not be left unattended in waiting area.
  • Come with a full bladder! You must be able to produce at least a 60 ml sample for the drug screen.

Asante is a drug free workplace. For purposes of Asante's drug free workplace policy, "illegal drugs" includes any drug which is illegal to use, possess, manufacture, or sell under federal or state laws. As discussed during your offer, successfully passing a urine drug screen is a condition of employment.

Background Check

We conduct thorough background checks for all individuals joining our organization. This screening encompasses criminal and county searches and based on the specific criteria and qualifications for your role, may extend to include reviews of employment history, educational background, and/or motor vehicle records.

Start Background Check

Physical

A member of our Employee Health team will reach out to you to schedule this appointment, which will be held at either our Medford or Grants Pass Employee Health locations (see location information in the Drug Screen tab above). The duration of this appointment is approximately one hour.

What you need to know for your physical appointment:

  • Bring a photo ID. You will not be able to complete the appointment without it.
  • Bring any vaccination records including your CDC Covid-19 vaccine record card if you have one.
  • Do not bring children with you. No one will be allowed in the exam room with you, and children may not be left unattended in the waiting area.
Employment Paperwork

Complete your pre-employment paperwork and learn more about Asante through our online portal! Using the same login that you used to apply, you will be able to complete all required paperwork with ease. Learn about our robust benefits, our payroll process and more!

You will receive a separate email for your ‘Preboarding Online Task’, which is a platform that houses your new employee paperwork. If you experience issues completing this online paperwork, please reach out to your onboarding specialist for assistance.

Preboarding Appointment

Local hires: Conduct a brief session with your onboarding specialist at our HR office in Medford, during which they will capture your employee badge photo, validate your I9 document(s), review your preboarding status and provide details on the upcoming orientation steps. Your onboarding specialist will reach out to schedule this appointment with you.

Our HR Office is located at 2635 Siskiyou Blvd. in Medford. Our typical operating hours are Monday – Friday from 7:30 a.m. – 4:30 p.m.

Remote hires: You will be able to complete your onboarding appointment virtually with your onboarding specialist.

Licensure and Certifications

For certain positions, an active license and/or certification(s) may be necessary. Your onboarding specialist will gather this information and conduct a primary source verification to ensure the accuracy of your documentation for your employee record.

Orientation

You’ve been cleared, what happens next? A successful and fulfilling career starts with a strong foundation, which is why we have a comprehensive orientation program to welcome and support our new hires. This introduction will provide an overview of what you can expect in the first few weeks to months, as well as how we are committed to you throughout your journey with us. 

The dropdowns will help guide you through your first week at Asante and settle any last-minute nerves before your first day. All finalized orientation schedules will be emailed to you by our orientation team the week before you start, so rest assured if you have remaining questions after reviewing these tabs.

Asante Orientation – Monday

Woohoo it's day one!

Orientation will be located at Smullin Health Education Center at 2825 East Barnett Road, Medford, OR 97504. Parking is available in the parking garage west of Smullin, click here for a map. Head over to the main auditorium where our orientation team will greet you with coffee to get the day started!

Clinical Onboarding E-Learning (for designated roles only) – Tuesday

It’s day two! Depending on your role and department, you may have virtual clinical e-learning assigned. This e-learning must be completed by 5 p.m. the Tuesday of your first week and before engaging in patient care.

Some of the topics may include:

  • Clinical orientation will focus on a variety of quality, safety and regulatory topics.
  • EPIC training will cover accessing and using Asante's EPIC electronic medical record system.
  • Crisis intervention training will focus on building skills to effectively de-escalate and intervene in crisis situations.

If this is not included in your position’s orientation, you will begin to work directly with your leader on your training plan.

Additional Training (for designated roles only) – Wednesday

Depending on your role, you may or may not have Epic or crisis intervention training. If this is not included in your position’s orientation, you will begin to work directly with your leader on your training plan.

Department Training

It’s finally time to step into your department! Your leader will reach out to you before you start to get you set up with your training schedule as well as any training documents you may need beforehand. Additionally, your leader will go over a new employee orientation checklist with you as an introduction to your new unit! 

Post-Orientation

Key things to remember after you have started in your new role:

  • After your first day, you will receive an email to your Asante email account prompting you to enroll in direct deposit, benefits and submit your applicable tax forms. You will have 30 days to enroll in benefits as well as our point-of-sale system which allows you to use your badge for our cafeteria, gift shop, or pharmacy purchases. Please complete this task as soon as possible to finalize your employee record with Payroll and Human Resources.

Returning Employees 

If you are returning to Asante within a year, attending new employee orientation on Monday is not mandatory. However, depending on your role and proficiency in clinical or EPIC areas, you may still undergo training in those areas. Your personalized training schedule will be sent to you the week before you start so you have time to prepare for your week!

FAQs

What do I wear to orientation?

Business casual or scrubs. For clinical positions, please be advised that artificial nails or gel overlays, as well as scented perfumes, are not permitted per Asante’s dress code policy.

When will I get my employee badge?

  • New hires & rehires >1 year: It is given to you when you arrive at orientation Monday morning.
  • Rehires <1 year: You and your onboarding specialist will arrange for you to receive your badge on or before your first day. 

What will my work schedule be?

Your leader or department scheduler will contact you after you are cleared to start or review this when they meet with you during your orientation week.

Do I need to wear a certain color of scrubs?

Though there are no specific scrub color requirements, please review the Asante dress code policy in the preboarding activity or connect with your department leader with further questions.

When do I sign up for my Asante benefits?

You will have 30 days once you start to enroll in benefits. During your orientation, you will learn about the benefits that Asante has to offer and how to enroll. In addition, a link to our HR portal will be sent to your Asante email during your first week with detailed directions on how to enroll.

I have questions about the benefit options, who do I ask?

Will my first check be direct deposit or by paper check?

 Asante strives to arrange direct deposit for your initial paycheck, but the timing may be influenced by the confirmation of banking details with your financial institution. In the event of a delay in confirmation, your first paycheck may be sent to your mailing address on file.

Can I receive my bonus as a separate check?

Bonuses unfortunately cannot be issued on a separate check but are factored into your first paycheck.

How much ETO am I going to earn?

ETO accrual is based on the number of years you have worked for Asante. To get a detailed understanding of your specific ETO accrual rate please review the Asante ETO policy on the myAsanteNET once you start with us.

Is there designated parking? Do I have to pay?

Yes, we have parking and no, you don’t have to pay! Only ARRMC requires a parking sticker to park in employee parking lots.

Can I get more ARRMC parking stickers later?

Yes, you can go to ARRMC security to get additional parking stickers if you have multiple vehicles.

Who do I go to if my vehicle information changes for my parking sticker?

You can go to the ARRMC security office to have them help you update your parking sticker information.
